MDF Goes Beyond
When on-going and overlapping seminars are the norm, then a very detailed and computer intensive system needs to be utilized. Co-ordination is crucial, as is the timely distribution of reports. A professional development division of a national physicians association held ongoing seminars for different diseases and conditions. Often more than one conference was held at the same time in different locations, because several different pharmaceutical affiliations are scheduling seminars independent of each other. They outsourced the management and co-ordination of these seminars (both the front end and back end) to MDF.
We were able to utilize many of our services to create a seminar package that was consistent throughout all of the different affiliations. We printed and sent out invitations, and received responses from different methods, including Website capture, telephone calls, mail, and faxes. Once we catalogued and co-ordinated the responses from each seminar, collected and processed the fees, We then confirmed the registration through letters, e-mails, and reminder faxes. Daily reports to each affiliation was used as a monitor for attendance figures to determine when capacities had been reached, and all of the required paperwork (from attendance and sign-in sheets to final attendees and payment summaries) aided the association in gaining more control over the process than they had when it was done in-house.
