Sales Support in a Dynamic Environment

Situation
The world's leading wire management company has been in a growth mode for 10 years, buying out companies that will add to their product line. This resulted in the need to integrate these products into their distribution network, as well as to standardize the ordering process, in light of different corporate cultures, distribution methods, and business rules. MDF handled most of their Sales Support throughout this period, but they kept the distribution of material to their sales channels in-house because the reps and dealers would change so frequently, as would revisions of materials and restrictions on who could order what. As these acquisitions grew, so did the space needed to support the operation, and the need to constantly update material and dealer information. When they felt it was time to outsource the bulk material distribution, they wanted an order system that would be compatible to all of their different companies and distribution channels and easily accessible by the dealers and reps.

Solution
MDF customized our web-based order management system according to the clientˇ¦s specifications. This required a real time evolving solution, rather than a static set of rules, since their requirements change frequently, including frequent material revisions and constant update of dealer addresses. In order to accommodate such a dynamic environment, MDF created an XML interface to our web-based system for real time transfer of customer master data from the client's system to ours. This means the data gets maintained in the client system at an off-site location then is transferred to MDF and uploads into our system automatically. The order system is integrated with the inventory, so material is deducted as the orders are shipped, maintaining an accurate accounting. All transactions are real-time, so they can view its inventory and activity at any time.

Benefits
  • The web-based system is accessible by all dealers and reps.
  • It is intuitive, so it is easy for new reps and dealers to learn and use.
  • All of the sales collateral is in one place, so there is economy of scale.
  • The client can query the system at any time, giving them the control they were used to.
  • Automated updates keep data current
  • Having the most recent document availability strengthens unified company image
  • Using a single-source provider simplifies the co-ordination effort.
